About Us
The GVFB provides assistance to approximately 16,000 people monthly across Vancouver, Burnaby, New Westminster and the North Shore. We also provide food support to more than 139 community agencies such as housing agencies, women and children’s shelters, transition homes and after school programs, which in turn provide hot meals and snacks to thousands of people each week, including people who are unhoused.

Position Overview
The Community Events Coordinator is responsible for overseeing all aspects of current and upcoming events, third-party events, and event-based online fundraisers (VFDs).
A proven track record, the ability to develop and maintain strong relationships with internal and external stakeholders, and the ability to engage and inspire individuals from diverse backgrounds is key to being successful in this role. You are a team-player with an aptitude to learn, a willingness to contribute, and a passion for making a difference in the community. You are a customer service superstar and a natural problem-solver.

Key Responsibilities
- Apply event management principles and processes to manage the full-cycle of events activity and ensure high standards for all events are met;
- Maintain regular, strategic communication with stakeholders (staff, volunteers, donors, community liaisons, etc.) as appropriate;
- Utilize strong administrative and computer skills to complete all administrative and data management tasks associated with event management in a timely manner;
- Liaise with the Communications team and external stakeholders (including staff in partner organizations, community leaders, volunteers, etc.) to ensure effective promotion of events;
- Establish and provide support to staff and volunteers as required, to ensure success of events (e.g., general guidance and support, materials, timelines, processing donations, etc.);
- Create event analysis reports following each event including revenues and expenses breakdowns;
- Ensure all relevant event stakeholders are thanked and recognized in an appropriate and timely fashion post-event, as determined by any relevant agreements;
- Review and respond to third-party event applications in a timely manner;
- Ensure safe handling of all money and ensure adequate cash handling training is provided to volunteers;
- Prepare and communicate volunteer requirements and recruitment information for all event-related volunteer positions to the Community Events and Engagement Manager 8-weeks pre-event;
- Create and manage an annual events calendar detailing all event activities;
- Treat all staff, volunteers, and stakeholders with dignity, respect, and is consistent in words and actions.
Personal Attributes and Core Skills

- Outstanding organizational skills and the ability to manage multiple projects simultaneously;
- Ability to think out-of-the-box, pivot, adapt, and problem solve in the moment is key;
- Solution-focused approach;
- Strong time management skills and ability to work under a high-degree of pressure on event days;
- Strong interpersonal and communication skills, both written and verbal;
- Ability to work independently and in a team;
- Familiarity with social media platforms;
- Professional written and verbal communication, and in-person interactions.
Qualifications and Experience
- Post-secondary education in events management, hospitality, customer service, fundraising, communications or equivalent;
- 1-2+ years’ experience in events management/execution;
- Experience working with and supervising volunteers is an asset;
- Proficiency with Microsoft Office Suite, and familiarity with various social media platforms;
- Clean Class 5 Driver’s license.
Physical Requirements
- Occasional evening and weekend work as required for events;
- Ability to work indoor and outdoor event environments, in a variety of weather conditions;
- Ability to walk and stand throughout events;
- Exposure to ambient temperatures and noisy conditions;
- Bending and lifting boxes up to 40 lbs. on a regular basis at events;
- Ability to set up and dismantle event equipment as needed.
