About Us
The GVFB provides assistance to approximately 15,000 people monthly across Vancouver, Burnaby, New Westminster and the North Shore. We also provide food support to more than 141 community agencies such as housing agencies, women and children’s shelters, transition homes and after school programs, which in turn provide hot meals and snacks to thousands of people each week, including people who are unhoused.
Our mission is providing healthy food to those in need. Our vision is to create healthy communities through fair and effective food systems. Currently, the GVFB receives, purchases, and distributes 8M lbs of food each year.
Hastings Racecourse Artisan and Farmer's Market
The GVFB is excited to be partnering with Hastings Racecourse this summer for the inaugural Hastings Racecourse Artisan and Farmer’s Market (HRAFM).
The Market will feature local artisans, growers, producers and makers as part of the fast-paced live horse racing venue. Located inside the Hastings Racecourse grandstand, the market will run on Saturday and Sunday race days throughout the summer and fall, with some special night markets on Fridays in August.
Position Overview
The GVFB is seeking a motivated and independent individual with event-related logistical experience. Reporting to the Manager of Community Events and Engagement, the Market Vendor Coordinator will oversee the entire vendor operation from recruitment, planning, set up and move out, maintaining relationships and communication with vendors and the venue, as well as other vendor related duties as assigned.
A successful candidate for this role understands the specific needs of an intricate and busy event consisting of many on site, active stakeholders. This candidate is a confident leader and efficient, detail-oriented planner. Not only does a successful candidate need to be personable, but also have the ability to manage vendors with a variety of needs and experience levels.
This part-time position is a combination of office, home office and market days from mid-May to mid-October.

Key Responsibilities
- Coordinate vendor services and infrastructure during planning, event and move-out phases.
- Collect and maintain all required vendor information prior to the event.
- Act as main contact for HRAFM’s 50+ vendors.
- Coordinate staff and volunteers on site during market days to ensure full coverage and understanding of duties.
- Guide additional on-site fundraising activities (ie. Bag check, 50/50, etc) during market hours.
- Under the direction of the Manager of Community Events and Engagement, coordinate production schedule of vendor move-in and move-out in collaboration with Hastings Racecourse Operations Team,
- Daily check-ins with vendors during market days.
- Creation of a weekly pre-market vendor newsletter during event.
- Provide weekly, detailed updates on market activities, vendor challenges, fundraising success, stakeholder feedback, etc.
- Ongoing recruitment of new and potential vendors.

Experience
- Bachelor Degree or Diploma in a related field of study – Event Management-related degree is preferred.
- 2+ years of Event Management, Vendor Management or other relevant experience.
- Experience with scheduling and overseeing the activities of large groups.
- Valid BC Driver’s license an asset.
- Advanced proficiency with computer programs, including Microsoft Office.
Physical Requirements
- Physically fit and have the ability to lift up to 50 lbs on a consistent basis.
- Exposure to ambient temperatures and noisy conditions.
- The ability to walk and stand throughout the shift.
