Data Entry Coordinator (Part-Time)

Position Summary:

The Data Entry Coordinator role is responsible for gift processing, data entry and ongoing data cleaning. Key responsibilities include assisting the Database Administrator with the timely processing and acknowledgement of gifts, including gift entry, donor information updates, data imports, data organization, and data hygiene. This role is entry level and will serve as an opportunity to pursue a career in non-profit fundraising and relationship management for the right candidate. This is a Permanent part-time role (averaging 20 hours per week).

Main Duties:

  • Receives, sorts and processes donations in Raiser’s Edge according to established practices
  • Performs data entry relating to donor accounts, by recording donations into Raiser’s Edge with attention to accuracy, coding and linking accounts
  • Adds new donor records and updates existing records as needed, merges duplicate constituent and relationship records
  • Enters gift batches, submits batches and reports for proofing
  • Updates donor contact information and contact preferences as required
  • Ensures data integrity, processes, and regular data cleanup for all donor records
  • Processes and mails gift acknowledgement letters, in a timely manner
  • Maintains customer confidence and protects operations by keeping the information confidential
  • Imports online donations from Luminate Online into Raiser’s Edge
  • Produces donor acknowledgement letters and receipts for gifts using Raiser’s Edge mail function as required
  • Works with development staff as necessary to clarify donor intention or any other questions related to contributions
  • Maintains physical files, including proper gift documentation
  • Attach media files when necessary to constituent records
  • When required, support the customer service staff on responding to donor inquiries regarding gift processing and demonstrate exemplary customer service in all exchanges
  • Other related duties and responsibilities, as required

Employment Requirements:

  • Data entry experience
  • Experience with fundraising software, Raiser’s Edge and ImportOmatic preferred
  • Experience with Luminate Online considered an asset
  • Effective interpersonal communication skills (written/oral), including active listening skills
  • Exceptional attention to accuracy and detail
  • Experience working in volunteer-driven environments
  • A flexible, collaborative and proactive work ethic
  • Proven ability to problem solve and complete tasks in a timely manner
  • Self-starter, organized and be able to work with minimal direction
  • A demonstrated ability to manage competing priorities
  • Highly skilled in all aspects of Microsoft Office suite
  • Ability to maintain a high level of confidentiality
